Inter-Library Loans

The Inter-Library Loan Service (ILL Service) provides access to material required for research that is not held in the libraries at National University of Ireland, Maynooth and St Patrick's College, Maynooth. The ILL Service endeavours to source this material from other libraries worldwide. The ILL Service also supplies material from our library stock to other libraries worldwide.

Who can use the service?

The Inter-Library Loan service is available to staff and registered students of the National University of Ireland, Maynooth and St Patrick's College, Maynooth, all of whom must hold a valid ID card. External members of the Library can also use the service.

Cost

The Library subsidises the cost of the Inter-Library Loan service however a charge of €10.00 per request applies to standard requests. This charge applies to staff and registered students. In extremely rare cases where agreed, extra charges are passed on to the patron/department for really expensive ILL items. External members of the Library can also use the service (price available on request) library.ill@nuim.ie.

How to make an inter-library loan request

Check the Library Catalogue to ensure that the item(s) is not held locally.

For journal/article requests also remember to check Electronic Journals.

Staff & Authorised Postgraduates only:

Staff and authorised postgraduates must submit all requests via the Library Catalogue, please see How to make a request via the Library Catalogue (staff and authorized postgraduates only) for more details.

All other categories:

ILL Request Forms are available at the Desk in the Library. Except for staff and authorised postgraduates (whose department cover the cost of their requests) full payment must be made at the time of submission

How to make a request via the Library Catalogue (staff and authorised postgraduates only)

Requests via the Library Catalogue can only be accepted from staff and postgraduates where charges are billed to departmental accounts.

From the Library Catalogue click on My Library Card and identify yourself: Enter your User ID / Barcode and Verification (PIN). Click on Log On.

Click on InterLibrary Loans then select the category of material you wish to request:

  • Journal/Article
  • Book/Thesis

Photocopies of articles etc. are supplied for research or private study and may not be reproduced in any form.

Please give full details and quote your source of reference if possible.

Choose your Department from the drop down list this is needed for invoicing and delivery of ILL articles.

Enter your No longer required after date: Select a date from the calendar or enter the date in the following sequence: yyyymmdd.

Under 'Preferred Media' click on the most appropriate media required.

  • Click Go and the message "ILL request was registered " will appear.
  • Click on Print to keep a record of your request or Cancel if you need to cancel the request.
  • Click InterLibrary Loans to submit any additional requests.
  • Click End Session.
  • Click Go to return to the Main Menu in the library catalogue.

How to speed up your requests

  • Give full bibliographic details (i.e. author, title, isbn, etc.).
  • Please cite your source of your reference if possible.
  • Readers are advised to contact Inter Library Loans if they are unsure of the availability of requested material, so that they can be informed if any of their requests are likely to be subject to delays or difficulties in finding locations.

Requests for UK Theses

EThOS has been created to offer a single point of access to UK-generated post-doctoral theses.  Access to the available theses is via http://ethos.bl.uk/Home.do The EThOS website includes a list of the institutions taking part. Institutions that are not involved in EThOS have different policies regarding access to their theses so while it is possible to request these via inter-library loan; supply is not guaranteed.

Please note that neither Oxford nor Cambridge universities are currently participating in the EThOS scheme, so requests for copies of their theses must be made directly to their Imaging/Reprographic departments:

Request for US Theses

Libraries in the USA apply differing policies individually.  Many US PhD theses are available for purchase/download directly from ProQuest's Dissertation Express service, in which case the holding library is not usually willing to lend, particularly to libraries outside the United States. It is possible to apply for a US thesis via the ILL Service but once again supply is not guaranteed.

How to check on the progress of your requests

If you have requested a loan you will be notified by email when it arrives and advised to come to the Desk in the Library to collect/consult the inter-library loan item.

Items received electronically with no restrictions will be emailed to your university email account. Photocopies or print copies are sent via internal mail to staff and authorised postgraduate students with departmental addresses. Photocopies or print copies for all other patrons are posted to the address they have specified on the inter-library loan request form. If an item is particularly urgent please contact Inter-Library Loans to discuss possible alternative arrangements.

Check My Library Card from the Library Catalogue to view a list of your requests and check on their progress. You will be notified by letter or e-mail regarding delays with requests, however, queries can be directed to the Inter-Library Loan Department tel: +353 1 7083901, e-mail: library.ill@nuim.ie

Please remember to click End Session and click on Go to return to the Library Catalogue when you have finished using My Library Card, otherwise your personal details will be freely available for others to view.

Where material is not available for loan because of restrictions applied by the lending library, readers should considering travelling to a library which holds the item. Click here for more information.

Information for other libraries

Other libraries who would like to borrow material from us may do so by emailing their requests to: library.ill@nuim.ie citing their British Library billing account number if they have one. We accept IFLA vouchers for international requests from libraries that do not have a British Library billing account.

Please note that many of our journal holdings are online only. Our ability to provide articles by inter-library loan from these journals will be dependent on our license terms.
